How rep shipping is priced, and why one-item parcels hurt

Chargeable weight, first-weight bands, per-parcel fees and volumetric traps. Why the same items cost wildly different amounts depending on how many boxes you split them into.

The number your agent shows you when you submit a parcel is not a price for your items. It is a price for a box: its weight, its volume, the route it takes, and the paperwork attached to it. Once you understand that the box is the unit being sold, most of the confusing behaviour of shipping quotes stops being confusing.

What a line is actually charging for

Nearly every line prices on some combination of four things.

  1. Chargeable weight. Not what the parcel weighs. It is the greater of the actual weight and the volumetric weight, which is calculated from the parcel's outer dimensions using a divisor the line publishes. A light, bulky parcel is billed as if it were heavy.
  2. A first-weight band, then increments. Most lines charge one price for the first block of weight and a different, usually lower, rate for each block after it. The first block is the expensive one. This single fact drives most of the advice in this guide.
  3. Per-parcel fees. Handling, packing materials, repacking, and any operation fee. These attach to the parcel, not to its contents, so they are paid in full whether the box holds one shirt or nine.
  4. Value-based add-ons. Optional insurance is usually a percentage of the value you declare, and some lines add surcharges by destination or by fuel. What the destination country then does with that declared value is a separate matter, covered in customs and duties on a rep parcel.

Weight is also rounded up to the next increment. A parcel that lands just over a boundary pays as though it reached the top of the next band, which is why shaving a hundred grams sometimes changes a quote and sometimes does nothing at all.

Volume is the trap, and shoes are where it springs

Shoes in their retail boxes are the standard example. The shoes are light and the boxes are large, so the parcel is billed on volume rather than weight, and two boxes can cost more to send than a heavy coat.

Agents offer to remove shoe boxes, flatten them, or vacuum-compress soft goods for exactly this reason. Removing a box is not free of consequence, though: the box is part of what you bought if you care about it, and compression can crease a garment. That is a trade you should make deliberately rather than by default.

Down jackets, puffers, bags and anything padded behave the same way. Dense, small items like belts, hardware and jewellery are the opposite, and they ride along cheaply inside a parcel you were sending anyway.

Why shipping one item is the expensive mistake

Send five items in five parcels and you pay the first-weight band five times, the handling fee five times, and the packing materials five times. Send the same five items in one parcel and you pay all of that once, plus incremental weight for items two through five at the cheaper continuation rate.

It gets worse when shipping is quoted per item rather than per parcel, which is what one buyer described running into on a direct order:

We cannot verify that account, and it is one buyer's telling of one dispute. What it illustrates regardless is that a per-item shipping quote and a per-parcel shipping quote are different products, and it is worth knowing which one you have been given.

What consolidation costs you back

Consolidation is not free, and a guide that only tells you to combine everything is leaving out the bill.

None of that reverses the arithmetic. It just means the right answer is usually a sensible-sized parcel rather than the largest one you can possibly assemble.

Choosing a line

Lines fall into rough families: fast tracked express, cheaper consolidated air freight with a local handover for the last leg, and sea freight, which is slow, cheap per kilo, and only sensible at real weight. Some lines are restricted by content — batteries, liquids, powders and cosmetics are the usual exclusions — and lines also differ in whether tax is prepaid or billed to you on arrival.

The specific lines available to you depend on your country and they are added and withdrawn constantly. The list in your agent's checkout today is the authority, not any list written elsewhere, including this one.

Two things that happen before the box exists

Consolidation can also start earlier than the agent. Buyers describe having a seller forward goods into an agent warehouse, or having one seller ship items bought from another:
