How to write a dispute message an agent will actually act on

The craft of the message itself — who reads it, why short translated sentences win, what evidence travels, and how to name a remedy the agent is able to give you.

A dispute with a shopping agent is won or lost mostly on timing, and timing is covered in disputes and refunds: your leverage is physical, and almost nothing survives your own approval of the parcel. Assume you have read that and are still inside a stage where something can be done.

This page is only about the message. Two buyers with identical problems get different outcomes, and the difference is often just which of them wrote something actionable in ninety seconds.

Picture the person reading it

Your ticket lands in a queue, read by somebody working through a great many, usually in their second language, often with machine translation in the loop, and with a fixed menu of actions they are authorised to take. They are not the decision-maker on anything unusual, and they will not reconstruct your order history from context.

You are not writing to persuade. You are writing to be sorted into the right category, matched to the right order, and handed the one action that closes the ticket.

The five parts, in this order

Put them in the order a reader needs them, not the order the story happened in.

  1. The identifier. Order number, or parcel and tracking number, in the first line — not in the third paragraph and not only in a screenshot.
  2. The fact. One sentence for what was ordered and what exists. "I ordered size L in black. The item received is size M in black." Not "the size is wrong", which makes the reader work out the direction.
  3. The evidence. Named and attached, with the relevant part indicated.
  4. The ask. One remedy, named, from the list of things this agent does.
  5. A time reference. The date it arrived, the date you submitted, or the storage deadline you are against. It conveys urgency without you claiming any.

Five sentences beats four paragraphs, and a ticket opening with an apology for its length is about to be skimmed.

Write it to survive translation

Evidence that actually travels

One order, one ticket. Bundling three problems into one message guarantees two get no answer.

Name a remedy the agent can give you

The ask has to map onto their menu, and that list is short: return to seller, exchange for the correct item, partial or full refund to your balance, reship, or a claim against shipping insurance you bought. A message expressing disappointment without naming one gets a sympathetic reply and no action.

The community's own version of the advice is blunt and correct:

If I was in your situation, I would just explain to agent that this is not the pair you ordered and to make sure to get you that exact pair (they should contact jelly about this) assuming you have the option to exchange/return.

Note the second half. Asking for an exchange without saying what a successful one looks like is how you land in the loop this buyer described:

I ordered a pair from sixgods using allchinabuy and had it exchange because the print on the heel is too low. The exchange pair has arrived but the issue is still the same. I still have it in my storage now and I don't know if I can refund it in my wallet.

So name the condition and the fallback together: exchange for a pair without that defect, and if the replacement carries it too, refund to balance. That closes the loop in one message instead of three rounds.

Know which side of the relationship your problem sits on

A wrong or defective item is a seller-side problem your agent raises for you. A lost or crushed parcel is a freight problem. Sending one down the other's channel is how three weeks disappear:

Follow-up without resetting the queue

If the answer is no

Sometimes it is no. Take the answer in writing and let it change what you do next rather than how loudly you argue: which seller you buy from, whether you slow down at QC, whether you insure.
