Most advice about keeping records is a folder and a shrug, and it does not stick because nobody names the actual problem, which is not tidiness.
In a normal purchase the shop keeps the record. Here there is no shop. The listing belongs to a marketplace seller who can delete it, the photographs to a Yupoo account, the conversation to a messaging app, the inspection photos to your agent's dashboard, the tracking to a carrier. You own none of it, and each system drops your evidence on its own schedule.
Ranked by how fast it disappears
Capture in this order, because this is the order in which the record dies.
The chat, which dies first
Anything agreed in WhatsApp, WeChat or a Discord DM exists at the pleasure of an app, an account and a person's willingness to keep talking to you. Screenshot the exchange the day it happens — not the sentence, the exchange, timestamps visible.
It is also the stage where a verbal reassurance replaces a decision:

A measurement was taken, a concern was raised, an assurance was given, and the parcel shipped anyway. Whether that assurance was written down is the difference between a dispute and a recollection.
The listing, which dies quietly
Listings are pulled, edited, and relisted under a new id. Save two things the moment you order: the item id, and a full-page screenshot of the variant you chose — size, colourway, quantity — with the URL bar in frame.
The item id is the durable object in this whole process. Sellers rename albums and agents go out of business; the numeric id survives both, and the link decoder reads it out of the URL's own shape, so a dead link from three years ago still rebuilds.

One buyer's account of one order, unverified by us. The sequence is the point: the listing goes, then the channel goes, and the buyer is left describing an object nobody else can look at.
The QC photographs, which are the inspection
These are the only images of the actual object anyone will ever produce, and they live in your agent's account, not yours. Download the full set, at full size, before you approve the parcel — all of them, because the defect you argue about later is often in a frame you did not open. If a specific detail matters, ask for a photograph of it when you order. How to read QC photos covers what to look for; the point here is that the file has to exist on your own disk.
The parcel record, which you get once
At submission your agent weighs and measures the packed box and quotes against that figure. Screenshot the quote, the packed weight and the invoice. If a parcel turns up short an item, that weight is an objective fact recorded before you touched anything.
The four artefacts a claim actually runs on
Everything above compresses into four things. Keep only these and most tickets are still writable.
- An identifier. The order number and the parcel number, in text you can paste, not buried in an image.
- The listing as it was. Screenshot with variant and URL visible, plus the item id in plain text.
- A matched pair of photographs. The QC frame showing the area in question, and your own photograph of the same area from the same angle after arrival. Side by side is the most effective attachment there is.
- The money trail. Invoice, payment confirmation, freight quote and packed weight.
How to write a dispute an agent will act on is what you do with them, and is worth reading before you need it: the message is short, and the evidence carries it.
A capture habit that survives contact with real life
- One folder per order, named with the date and the seller. Not per item, not per month — a dispute is scoped to an order.
- Screenshot whole windows, never crops. A crop loses the URL, the timestamp and the account name — the three things that make a screenshot evidence.
- Write one line of plain text per order in the same folder: what you bought, from whom, at what price, on what date, through which agent. Three months later this is the file you actually read.
- Photograph on arrival before you wear or wash anything. Checking a rep when it arrives sets out the sequence, all of which becomes worthless once the item has been used.
- Keep the box and packing material for as long as a freight claim could still be opened.
Ask for answers in a form that can be quoted
The habit worth building is smaller than a system: when a seller or an agent tells you something that matters, get it in the ticket rather than in a voice note. "Please confirm in this ticket that the sleeve measures 62cm" costs one sentence and converts an assurance into a record.
The same applies to anything you are relying on before you pay: what shipping cover pays out for, whether a size can be exchanged, how long free storage runs. Disputes and refunds explains why that window is physical rather than contractual — which is why the answer has to be captured while the parcel is still in the warehouse.
What records cannot do
They do not reopen an expired window. If a claim had to be raised inside a period set by the freight line and was not, a perfect archive changes nothing.
They are not a substitute for reading the QC photos properly in the first place. The cheapest remedy in this hobby is refusing an item in a warehouse in China, and no documentation recreates it once the box has crossed a border.
And they do not tell you what an agent will do.
